    Planning and organising events can take months, sometimes even years. Depending on the type and scale of the event, there are hundreds of elements to take into consideration.

    With such extensive planning and preparation, getting it right is paramount for many businesses and individuals. There are several things you can consider adding on to the planning process to make your events run even more smoothly and leave your guests feeling like it was all worthwhile.

    1. Free Gift Bags

    The cost of giving out freebies will depend on how many guests you expect. When it comes to giving out free gifts at events, guests will generally be pleased that they are receiving something for free. It will make the event more memorable, and if you give away branded merch, it’s another way for your guests to remember your company for longer. Factor the cost of free gifts into the budget from the start to ensure there is enough money to cover them.

    2. Interpretation and Translation

    Events where talks and speeches are taking place may benefit from interpretation services. Consider the demographic of the guests you are inviting and decide whether this could be something which may help your event to go well. For example, if there is a percentage of French speakers at an event that is being delivered predominantly in English, consider hiring interpreters to enhance communication and inclusion.

It can help people to connect, facilitate smoother introductions, and avoid awkward encounters where guests forget each other’s names.

    5. Charging Stations

    Particularly for events which last all day (or all week), charging stations can be critical. People could be spending a lot of time on their phones, tablets, and laptops for business or leisure purposes. This may mean their devices run out of charge quickly throughout the day, resulting in frustrated guests if they can’t access a charger.

    Consider hiring portable charging stations or speaking with the venue about additional charging points for delegates to use.
